Competition privacy notice

This draft notice describes the personal information that would be used to run our proposed Win a 10×8 Shed prize draw. Entries are not yet being collected.

This is a pre-launch notice. The actual entry system, service providers, retention schedule and any optional marketing consents will be checked before activation.

Who is responsible?

iLikeStores Limited (company 09220253), 6–7 Edison Road, Elms Farm Industrial Estate, Bedford, MK41 0HU, is the proposed data controller for the competition. Contact help@ilikestores.com with privacy questions.

Information needed to administer the competition

For paid or free entries we would process your name, contact details, postal address, date of birth or age-verification information, entry date, assigned entry identifier, eligibility and validation records, and whether your entry is valid. For paid entries we would also process payment confirmation and transaction references, not full payment-card details. When appropriate, the selected winner would provide evidence of age, identity, address and delivery or installation access requirements.

What we use it for, and the lawful bases

We would use this information to record entries, prevent fraudulent or duplicate entries, allocate valid ticket numbers, select and contact the winner, deliver the prize, handle complaints and evidence the fairness of the draw. The competition will use a dedicated entrant and transaction register separate from ordinary shed-store orders and stock fulfilment; paid entry receipts will be cross-referenced to entries, while free postal entries will have no payment transaction. Depending on the activity, the lawful basis would be performance of the competition terms, compliance with applicable legal obligations or the promoter's legitimate interests in running a fair and secure promotion. We would assess and document these bases before launch.

Marketing is optional

Entering the draw would not require agreement to promotional emails, texts or calls. If an optional marketing checkbox is presented, leaving it unticked would never affect eligibility or the chance of winning. Consent, where relied on, can be withdrawn at any time using the message unsubscribe option or by emailing us.

Scanning postal entries into the competition register

Free entry letters and postcards will be date-stamped, scanned into the restricted-access iLikeSheds Manager competition register and given a unique incoming-mail reference. We may capture the envelope or postmark where needed to validate the date sent and will store the document image, date received, ticket reference, validation outcome and the authorised staff member who processed it. Corrections and rejected entries will be logged with their reason and reviewer. We will use the scans to prove that valid free entries were handled fairly and included in the final draw, not to build marketing profiles. Where incidental information is not needed, we will avoid collecting it or redact it.

Sharing, storage and security

Scanned postal letters, envelopes and personal information will be available only to authorised employees through role-based access, with encryption where supported, protected backups and logged access. Paper originals will be stored securely during processing and any required verification period, then confidentially destroyed under the retention policy. Only authorised team members and necessary service providers would have access to relevant entrant information. This may include hosting and website providers, an approved payment provider, an independent draw verifier, professional advisers, a supplier or courier fulfilling the shed, and authorities where legally required. We would apply appropriate access controls, backups and audit logging. Public draw coverage would use ticket references without exposing the complete entrant database.

How long do we keep it?

Competition entry records, including scanned postal submissions and their linked audit history, will be retained only as long as necessary to validate the draw, award the prize, resolve complaints and meet legal obligations. Our proposed working retention limit is 12 months after prize fulfilment for identifiable non-winning entry scans, with longer retention only where an actual dispute, legal requirement or substantiated claim makes this necessary. Thereafter the personal scans should be securely deleted or anonymised; a non-identifying audit summary can be retained. Payment, tax and winner fulfilment records may follow distinct applicable retention rules. The final retention schedule will be signed off before entries open.

Winner publication

We may need to make limited information available to demonstrate that a valid prize was awarded, subject to advertising rules, privacy objections and safety considerations. Full home addresses, private contact information and the complete entry register would not be made public.

Your rights and complaints

Depending on the circumstances, you may request access, correction, erasure, restriction or portability of your personal information, or object to certain processing. You can contact help@ilikestores.com or complain to the Information Commissioner's Office. Some records may need to be retained to comply with legal obligations or substantiate the draw, even after a deletion request.
